Event guidelines in response to COVID19

GENERAL GUIDELINES

Everyone will go through contactless temperature checks prior to entering the venue, either by handheld devices or thermal cameras.
It is mandatory for everyone to wear face masks at all times in the venue.

Signage will be installed at key locations across the venue to spread awareness about safety regulations including entrances and exits into the event. To ensure compliance to social distancing of 2m for queuing there will be floor markers at all dedicated ticket sales areas/onsite ‘badge collection areas for the event

Sanitisers have been installed at key locations: entrances to the venue, entrances to halls and meeting rooms, F&B outlets, washrooms, within parking areas, service yard restrooms and in all meeting rooms.

Floor stickers and other guides are installed to support 2 meters social distancing measures as outlined in the government guidelines. In addition, social distancing staff will be deployed throughout the halls to manage social distancing

All exhibitors and visitors are to be reminded that handshakes should be avoided at this time.

Gloves are optional as per government regulations.

MEETING ROOMS, SEMINARS, CONFERENCES & FEATURES

The maximum capacity will vary based on the open floor and room space, or space remaining after stage and production build as well as the set-up style (i.e. theatre style, cabaret, classroom etc.) has been plotted to incorporate social distancing.

Cleaning will be carried out between breakout sessions, broadcasting sessions and lunch times.

DELEGATE LUNCH

To comply with social distancing the delegate dining seating will be spaced out 2 metres apart with a maximum of 6 people per table with 2.5 metres between tables and rows. Lunch will be served plated rather than buffet to avoid crowding.

STAND RECEPTION COUNTERS / CAPACITY

The maximum number of people permitted on a stand should correspond to 1 person per 4sqm. The maximum number of people permitted on a stand at any time should be displayed on the front of the stand via a signage board or a sticker. The size of these signs needs to be a minimum of 50cm by 30cm. Stand designs will be rejected if this is not adhered to. It is also recommended that all
stands have floor stickers to highlight social distancing within their stands. Clear screens/shields should be provided on all reception counters. The number of staff at these counters should be limited to only one person at any time. Reception counters must be recessed by 1m from the edge of the exhibition stand if the stand has a greater depth 4m. Hand sanitisers should be available at all reception counters at all times.

BOARDROOM/MEETING SPACE ON STAND

Boardroom space on the stand needs to be large enough to incorporate social distancing regulations. The capacity guideline (1 person per 4sqm gross or minimum of 2 vacant seats equivalent between each person/seat if not from the single group) should be used to determine the number of people permitted within the space. Air circulation in enclosed areas should be considered.
Sanitisers need to be made available on all meeting rooms for both staff and visitors.

BOARDROOM/MEETING SPACE ON STAND

Where exhibition stands have interactive displays and/or product demonstrations that involve visitors touching and using items, the exhibitor should ensure social distancing measures are in place, and that all items are wiped/sanitised between each interaction.

It is recommended that an usher or staff member be assigned to sanitise all touchscreen and product displays / all simulators or VAR equipment. Sanitisers need to be made available on all stands for both staff and visitors. Gloves can additionally be made available

REGISTRATION GUIDELINES

All visitors will be required to pre-register online prior to visiting the show/event. This includes providing all pertinent details required to allow contact tracing, in line with registration requirements.

Registration areas will be used to scan pre-registered guests for entry. In areas of queuing social distancing of 2m will be implemented.

To ensure that the maximum number of pre-registered visitors and/or tickets sold (including staff, crew, exhibitors, media etc.) remains within the maximum capacity guidelines

EXHIBITION TIMETABLE

It is mandatory that all stand contractors comply with the build schedule specified in the online exhibitor manual and ensure that their teams are aware of the given timeframe and have suffcient time to complete all of their work.
Strictly no late working or overnight work will be permitted on the last day of build-up, as the remaining time will be used for deep cleaning, fumigation and sanitization of the halls before the show opening. Any event build that is not complete or requiring changes will need to obtain special permission from the organiser and the venue to carry out pending workafter the show closes on the first day.

All contractors, including stand building contractors & exhibitors building their own stand, are to ensure that all government and show regulations are adhered to and must acknowledge the updated guidelines in the online exhibitor manual in response to COVID 19 and brief their teams accordingly.

There will be strictly NO access to contractors on the opening morning, except for 'stand by' electrical, AV/lights technicians and project managers. No building construction work, graphic replacement, or touch-ups can be done at this time

All stand builders need to revise working practices to bring pre-fabricated stands to assemble rather than build on site. Sanding and painting should be limited to touch-ups and final finishing. Exhibitors/contractors should promote ‘keep it simple” with their stand designs. Modular stands or basic custom build that is prefabricated should be used where possible, to establish the safest possible environment with limited manpower and time.

EXHIBITION TIMETABLE

ON THE LAST DAY OF BUILD: there will be no opportunity to work past the time indicated in the show build schedule.

Manpower on a stand should be limited to adhere to social distancing, therefore 1 person per 4sqm of floor space. Contractors must maintain social distancing throughout the build-up. Contractors will need to schedule their workforce to ensure that the maximum number per stand is not exceeded.

Hand sanitiser and face masks should be readily available during build up and tear down and should be provided by the contracting/production company for their respective stands

Contractors are to strictly maintain social distancing during stand/event build up and meal/break times.
Communal water bottles or meals are not allowed. Only sealed water bottles and pre packed meals with disposable cutlery are to be used by all contractors and crew onsite.
